How to Organize Files
Steps
- Determine where the file system is going. For example, are the files on disk, a hard drive stored on your computer system, or papers stuffed in manila folders?
- Gather together all of the information that is to be placed in the file system.
- Sort the information by class. Categorize it, or just put it in a-b-c order. If you have a box full of removable storage (floppy, CD, DVD), you can sort them by topic if you have them labeled.
- Once you have everything sorted out and in its own little pile, you can then place it in some sort of order. It can be by date or a-b-c order. (Alphabetizing folders can even be purchased from an office supply store. Such a folder or alphabetizing device allows for more rapid alphabetization.)
- At this point, the file system location has been made and you can now place your files in an organized manner.
- As you label each organized folder, if storing your folders manually, rather than on computer, when using tabs to label each folder, be sure to place the plastic tab at the back flap edge of the folder, rather than the front flap edge. Doing so prevents blocking the view of the tab as you are placing papers away in said folder (just makes things a bit easier.)
Tips
- Always back-up files on hard drives and on removable storage.
- You can download file organizing software if you like.
Warnings
- Always remember how your system is set up, so that when a file is removed it can be replaced in the right order.
